Copy this onto your school's own letterhead and edit the highlighted details before sending. It covers what the day is, who is present on the call, what data is (and isn't) collected, and a photo/recording consent slip.

[Class/Year group] will be taking part in Earthrise:Live, a free global classroom exchange. Our class will meet, by live video call, a class of the same age in another country, to say hello, ask questions and learn a little about each other's lives. The call will last between 15 and 30 minutes and will take place during the school day on Thursday 19th November 2026 (or a nearby date, if that needs to change).
[Teacher name] will be present throughout the call, using [School name]'s own approved video platform (Microsoft Teams, Google Meet or Zoom). No adult from outside the school takes part at any point.
No personal information about your child is collected as part of Earthrise:Live. Children are asked to share only their first name, and are asked not to share personal details such as home addresses, contact details or social media details.
Recording is switched off by default. If we do plan to record the call, or take photographs for use by the school, we will only do so with your consent, given below - and we will never publish your child's face without that consent.

Why the consent slip matters
